Audix (voice mail) instructions

After you call AUDIX and log in, you will be given the choice of using any of the six major activities. These six activities are shown below, arranged as they relate to the keys on your telephone. The arrangement shown is called the Activity Menu. This quick guide explains how to use some of the basic functions selected from the Activity Menu.

To Login:

AUDIX Initialization:
The first time you call AUDIX it will ask you to record your name to be included in the system announcements. After following login procedures steps 1-3, follow the voice prompts:

  • Press 1. At the tone, speak your name.
  • Press 1 to stop recording. It will speak back your name.
  • At this point if you wish to rerecord, repeat previous steps. If recording is satisfactory, press # to approve.
  • At this point you will be returned to the activity menu. Either hang up or continue with the activity you wish to perform.

To Login:
To log in to the AUDIX system:

  • Dial the AUDIX extension number (293-2677) and wait for the system to answer.
  • Enter your extension number, then press #.
  • Enter your password, then press #.



Changing a name already recorded:

  • Call AUDIX and log in.
  • Press activity 5.
  • Press 5 again to record name.
  • At the tone speak your name.
  • Press 1 to stop recording. The system will repeat the name just recorded.
  • Press # to approve.

To record a personal greeting:

You can have up to 9 personal greetings recorded but not all active on the AUDIX system. You could record greetings for working hours, after hours, weekends, holidays, vacations, etc.

  • Call AUDIX and log in.
  • Press 3 to select the Personal Greeting Activity.
  • Press 1.
  • Press greeting number.
  • Start with 1 and number consecutively as you add new greetings.
  • Press 1. At the tone, speak your greeting.
  • Press 1 to stop recording.
  • Press 2, 3 if you wish to listen to your greeting before approval.
  • If the greeting is unsatisfactory, press *D to erase and follow steps 5 - 7 to re-record.
  • If the greeting is satisfactory, press # to approve the recording.
  • To activate the greeting just recorded, follow the voice prompts. When finished with this activity, press # and it will return to the activity menu you heard when you logged in.
  • To activate a greeting previously recorded, log in to AUDIX. Then press 3. Press 3 again, and then press greeting number, ie. 1, 2, 3, etc.

 


Examples of personal greetings:

"I am currently away from my desk. Please leave a message and I will return your call"

"You have reached the shoe department. We are currently closed for the holiday; please leave a message and we will return your call on our next business day."

"You have reached the plumbing department. Our office hours are from 8-5 Monday through Friday. Please leave a message and we will return your call when we reopen."

To modify your password:

Passwords are a form of security for your AUDIX mailbox. Passwords can be up to fifteen (15) letters. If you forget your password or the person using the extension has changed, call telephone support at 293-2605, #3.

  • Call AUDIX and log in.
  • Press 5 to select Passwords from the Subscriber Activity Menu.
  • Press 4 to change or modify your password.
  • Enter your new password; then press #.
  • Enter your new password again for confirmation and then press #.

 


To listen to messages:

Every incoming message consists of two (2) parts: the header and the spoken message. The header tells you what kind of message is waiting the time, day and date of delivery, how long the message is, and for voice mail messages who it is from.

  • Call AUDIX and log in.
  • Press 2 to select Get Incoming Messages from the Subscriber Activity Menu. AUDIX will read you the header first.
  • Press 0 or *L to listen to the message. (If you want to skip this message now and save it until later, press #. AUDIX will move the message from the new category to unopened category and read the next header.) Then press either 0 or *L to listen to the content of the next message.
  • Press # to save the message and skip to the next header, or press *D to delete the message.
  • If you delete the message, AUDIX automatically skips to the next header.

Basic commands:

Help * H Press *H at any time for a complete list of current options. AUDIX will tell you the current activity and give you a list of options.
   
Restart *R Press *R to return to the Subscriber Activity Menu. This command will return you to the beginning menu. You can also press *R to get to your mailbox if you were redirected to AUDIX by call answer.
   
Relogin *RR Press **R to relog in to the system with a different password. This command, available only at the Activity Menu, allows two or more users to log in to their respective AUDIX mailboxes consecutively during a single phone call without having to hang up and start over.
   
Delete *D Press *D to delete message and mailing lists. Deleted messages can ONLY be retrieved if you press **U immediately after deleting the message. If you have pressed any other buttons, you cannot perform this function.
   
List *L Press *L after recording a message to tell AUDIX that you are about the enter a list as an address
   
Listen *L Press *L after hearing a header to listen to the message
   
Back Up *B Press *B to back up to the previous header/message pair when you are listening to messages that you have accessed at least once, but have not deleted.
   
Wait *W Press *W for the system to wait. Ordinarily, if you don't enter a command within a certain length of time, the system disconnects. This command asks the system to wait longer. When you are ready to continue, just press the key for the next activity you want to perform.
   
Transfer Out *T Press *T to transfer out of AUDIX and call another extension without hanging up.
   
Disconnect Hang up.

While listening to messages you may find the following commands helpful:

Listen
You can press either 0 or *L to listen to your messages.

Rewind
Press 5 to rewind in four-second increments. Press 5 several times to rewind in larger increments.

Advance
Press 6 to advance in four-second increments. Press 6 several times to advance in larger increments.

Volume Increase
Press 4

Volume Decrease
Press 7

Speed Increase
Press 9

Speed Decrease
Press 8
