Standard Room Setups

Requests for room set-up should be provided on the subject bar line of the appointment screen in Outlook. Each appointment must include the department name, meeting description, "as set" or setup #, and group size. If food and/or beverage will be served this information "must" be included on the subject line of the reservation. If alcohol is being served, please add this info to the subject line of the reservation. Alcohol regulations and procedures

Failure to submit the required information on the subject line of Outlook may cause the appointment to be declined. If you need help, see our section on Reserving Resources.

Send a separate appointment to "Audio Visual at Wichita" when audio-visual equipment is needed. Specify av equipment needs and the service level in the message section of the appointment.

* The Meadowlark room (1305) maintains the set-up "as set" as illustrated. Serving tables can be requested in the subject line by designating desired number and location(s) of tables. If a special set-up is requested, there will be an additional charge. Only the following special set ups are available: 8, 9, 10, 11, 12, 13, 14, 15. Please submit an on-line work request located on our website, and indicate your special request and billing information for this additional charge.

Cottonwood room (#2210) and the Flint Hills Room (#2209) will maintain a standard set-up. Please indicate "as set" on the subject line of Outlook for scheduling purposes, unless a different configuration is required. Optional set ups are provided on the list above.

***Prairie & Mount Oread Room maintains the standard set up #1, but the room can be rearranged by the group who reserves the room. The room must be returned to the standard set up #1 before leaving to avoid a billable housekeeping charge of $20.

** Roberts Amphitheater (#2214) requires "as set". Limited temporary seating can be added to the auditorium upon request by contacting Facilities. If requesting tables in the Amphitheater Lobby, please include any table number(s) preferences, and a 'sk' suffix to designate a skirted table on the subject line of the Outlook room reservation appointment for scheduling purposes. Example: dept., mtg name, #2, #3sk, #5.

To help ensure that meeting room set-ups are accomplished in a timely fashion, please have room reservations completed by noon Friday of the previous week. Any room reservation that needs to be canceled should be removed from the calendar at least 24 hours in advance. Please refer questions and requests for assistance to facilities management at 3-2625.
