Appeals Procedure

Excused Absences

(Absences Request forms available in ASA)

All students are expected to contact the responsible individuals prior to any anticipated absence from required activities.

Planned Absence

Workshops, presentations, meetings, planned personal medical treatment, and Admissions Committee activities, which would require student absence from scheduled clinical responsibilities. For each event students must submit a Planned Absence Request form to ASA at least 30 days prior to first day of absence. (See guidelines)

Emergency Absence

Death in immediate family, serious family emergency, personal health emergency*, which would require student absence from scheduled clinical responsibilities. Students must submit an Emergency Absence Request form to ASA. (See guidelines)

*In the event of acute illness, student must notify the responsible individual whenever it is clear that he/she will be absent. (See guidelines)

Guidelines

"Responsible individual" is:

  • Lecture or discussion group leader in cases of absences of up to two hours.
  • Attending or preceptor in case of absences from clinical duties.
  • Departmental course/clerkship director or department chair in case of absence of more than two hours.
  • Academic and Student Affairs – Wichita in case of absences of more than two days.

Excuses from clinical activities /as "Planned" or "Emergency" absences will be granted as follows:

  • Absences of two days or less: Excuses will be granted by the department chair or clerkship director, or designee, and need not be reported further. Department may require student to complete an absence request form in ASA.
  • Absences of two to five days: The student must obtain approval from the Associate Dean of Academic and Student Affairs – Wichita through an absence request form in ASA.
  • Absences of more than five days must be approved by the curriculum committee, upon recommendation from the Associate Dean of Academic and Student Affairs – Wichita. A majority vote of the curriculum committee will suffice to approve the absence. An absence request form must be completed in ASA.

Unexcused Absences

Two days or less: These matters may be handled by the department concerned, which will decide on disposition, remedial work, etc., for the absence. All unexcused absences should be reported to the Associate Dean of Academic and Student Affairs - Wichita and a notation of the unexcused absence will be entered into the student’s permanent record.

Unexcused absences of more than two days will result in automatic suspension from enrollment of the student. To be readmitted to the school, the student must apply to the Associate Dean of Academic and Student Affairs - Wichita who will investigate the case and recommend an action to the curriculum committee. The committee will decide, by a majority vote, the question of readmission. The student may make a personal appearance at the curriculum committee prior to its vote.

Appeals Procedure

A student who disagrees with the decision of the curriculum committee (in cases of absences greater than two days) or of a department chair (in cases of absences of two days or less), may appeal the decision to the Associate Dean of Academic and Student Affairs - Wichita.

Decisions of the Academic Dean of Academic and Student Affairs, - Wichita may be appealed according to the procedure outlined in the Grievance Procedure.
